HubSpot integration (Chat & Call Sync)
This section explains how we handle data when you connect HubSpot to Wassenger with Chat & Call Sync, our app for HubSpot, which we offer for numbers on the official WhatsApp Business Platform. It adds to the rest of this policy.
Who can connect it. Only the owner or an administrator of a Wassenger account can connect HubSpot, from Connected apps in that account. They choose which of the account’s numbers it syncs, and approve the connection in HubSpot.
Your customers’ data. The conversations and contact details of your customers belong to your business. We handle them on your business’s behalf: your business decides whether to connect HubSpot and is responsible for telling its customers how it uses their data.
What the app reads from HubSpot. To match your WhatsApp chats and calls with your HubSpot records, the app reads:
- your HubSpot account ID and the HubSpot domain your account uses;
- the ID and phone numbers of the contacts whose number matches a chat or call on your chosen numbers, including those that share it without the country code, and of the contact you are viewing in HubSpot;
- the ID and email address of your HubSpot users, to match them with your Wassenger team members;
- the WhatsApp messages and calls already logged on a contact, so that the app does not log one twice;
- when someone opens the WhatsApp card, the ID of the HubSpot user viewing it, which HubSpot includes in its request.
To find them, the app sends HubSpot the phone number of the chat or call and the email address of the team member involved.
What the app writes to HubSpot.
- messages in one-to-one chats, received from your customers or sent by or on behalf of your team members in Wassenger, as WhatsApp communications on the matching contact: the text, the type and file name of any attachment (not the file itself), the time and, for messages your team sent, the HubSpot user whose email matches the team member. Group chats, reactions and messages that no team member sent, such as automatic replies, campaigns and messages written on the phone, are left out;
- WhatsApp calls, as call records: time, direction, outcome, phone numbers, duration and the team member;
- if you choose to, a new contact for a call with a number HubSpot does not have, with that phone number, the name saved in Wassenger or the WhatsApp profile name, and legitimate interest as its legal basis.
If a message is later edited or deleted in WhatsApp or Wassenger, its copy in HubSpot stays as it was.
What HubSpot shows from Wassenger. On a contact’s page in HubSpot, the WhatsApp card shows whether the contact has a chat on your numbers, with the number’s name and phone number and a link to open the chat in Wassenger. It shows no message content. We answer only the requests that HubSpot signs.
Why we use it. We use the data we receive from HubSpot only to match your chats and calls with your HubSpot records, to keep the connection secure and to fix errors. We do not sell it, use it for advertising or use it to train AI models.
What we store, and for how long.
- The tokens that give the app access to your HubSpot account, encrypted. When the connection ends, we delete them about 24 hours later.
- Your HubSpot account ID and domain, with the record of the connection, until you delete your Wassenger account.
- The ID of the matching HubSpot contact and a link to it, saved on your Wassenger contact, until you delete that contact or remove the number, even after you disconnect HubSpot.
- The details of each WhatsApp call we pass to the app (phone numbers, time, direction, outcome, duration and team member), for 30 days after we pass it on.
- Short-lived working data, such as which contact matches a phone number and which messages are already logged, for 7 days at most.
- We keep daily backups so we can restore the service. They currently have no automatic expiry date, so copies of deleted data can remain in them; we use them only to restore the service.
- The app’s own technical logs leave out tokens, message content, email addresses and phone numbers.
Who receives it.
- HubSpot receives what the app writes into your HubSpot account, and handles it under the terms between you and HubSpot.
- Our service providers, such as Google Cloud, which hosts Wassenger in the United States and Europe, and Sentry, which collects our error reports, process it on our behalf under data processing agreements.
How to disconnect. You can disconnect HubSpot at any time from Connected apps in your Wassenger account: the app stops syncing at once and we delete its tokens about 24 hours later. This leaves the app installed in your HubSpot account until you uninstall it there, under Connected apps > Actions > Uninstall. If you uninstall it in HubSpot first, it loses access once its current token expires, and we usually notice and disconnect it within minutes; if it still shows as connected in Wassenger, disconnect it there too. Disconnecting does not delete what the app already wrote into HubSpot, which you can delete in HubSpot, nor the HubSpot ID and link saved on your Wassenger contacts.
Your rights. You can ask us for a copy of your personal data, or ask us to correct or delete it, by writing to support@wassenger.com. Depending on where you live, you can also complain to your data protection authority.
YouTube channel in the partner program
This section explains how we handle data when a partner in our creator partner program adds their YouTube channel in the partner portal. It adds to the rest of this policy.
YouTube API Services. This feature uses YouTube API Services. By adding your channel, you also agree to the YouTube Terms of Service. Google’s use of data is covered by the Google Privacy Policy.
What we access. Only the channel @handle you give us. We use it to ask YouTube’s API for the channel’s public subscriber count, and whether the channel hides it. We never ask you to sign in to YouTube or Google, and we get no access to your Google account or to any private data. The partner portal loads nothing from YouTube or Google for this and sets no cookies for it.
Why we use it. To show you, and the Wassenger staff who run the program, the size of your channel’s audience. It is for information only: it never changes what you earn, and we do not sell it, use it for advertising or use it to train AI models.
What we store, and for how long.
- The @handle and the date you added it, with your partner record, until you remove the channel or ask us to delete it.
- The subscriber count, whether the channel hides it and when we read it, for 29 days at most after we last read it from YouTube. We read it again at most once a day, when you or our staff open a page that shows it.
- We keep daily backups so we can restore the service. They currently have no automatic expiry date, so copies of deleted data can remain in them; we use them only to restore the service.
Who receives it.
- Google receives the @handle we ask about, with our API key and our server’s address. We send Google no name, email address or other details about you.
- The subscriber count is shown only to you and to the Wassenger staff who run the program. We do not publish it or share it with anyone else.
- Our service providers, such as Google Cloud, which hosts Wassenger in the United States and Europe, and Sentry, which collects our error reports, process it on our behalf under data processing agreements.
How to remove it. You can remove your channel at any time from your Account page in the partner portal, and we delete the @handle and the subscriber count at once. Because we never get access to your Google account, there is nothing to revoke in your Google security settings, where Google lists the apps that can access your account: myaccount.google.com/permissions.
Your rights. You can ask us for a copy of your personal data, or ask us to correct or delete it, by writing to support@wassenger.com. Depending on where you live, you can also complain to your data protection authority.
Changes
We reserve the right to update our privacy policy and data processing policy over time, and that means sometimes we have to change the legal terms under which our Services are offered.
If you disagree with our changes, then you should stop using our Services within the designated notice period. Your continued use of our Services will be subject to the new terms. However, any dispute that arose before the changes shall be governed by this Policy (including the binding individual arbitration clause).
